Responsibilities:

The Administrative Coordinator will report to the Chairperson of the Department of Health Sciences. This person provides high-level functions and support duties to the chair/associate chair, faculty, students and staff by implementing administrative systems, procedures, and policies; monitoring budgetary and fiscal aspects, managing administrative projects; and coordinating and maintaining all departmental logistics. Specifically, the Administrative Coordinator will implement and maintain all administrative and procedural systems in the Department. Additionally, s/he will be the liaison with Bouve College of Health Sciences in order to respond to university's processes, policies, logistics and requests. Some of the activities the Administrative Coordinator will carry out on a regular basis include: budget (tracking, balancing and forecasting); Concur activities (initiate, track and report); vendors and supplies (purchasing, invoicing and reimbursments); human resources and personnel (for all departmental constituencies including full/part-time faculty, affiliate faculty, visitors, students and staff); academic support (Registrar's Office, book adoptions and library, teaching support logistics); departmental systems and procedures (maintaining and updating Sharepoint and Blackboard); space and facilities (managing furniture, computers and phones); and scheduling and logistics (managing various requests for meetings and events). In addition the Administrative Coordinator will serve as the Department's liaison within and outside the University. External relations will be supported by developing, implementing and maintaining the departmental website, social media efforts and alumni relations. The Administrative Coordinator will meet regularly with the Chairperson to set priorities and goals in order to ensure smooth, efficient and timely fulfillment of duties and responsibilities.

Qualifications:

Bachelors degree required. Two-to-five years of administrative experience, preferably in the academic setting required. Mature, experienced professional, capable of independently leading the administrative and management support activities of the department in an effective and timely manner. This position serves as external liaison for the department and requires proactive and effective communication with the departments leadership (chair, associate chair and program directors), faculty, students and staff.
Experience with: Administrative support activities. Managerial principles and practices. Team environment. Troubleshooting and solving complex program issues. Customer service principles. Diverse populations and cultures.

Skills: Ability to multi-task, work both independently and as part of a team. Ability to work independently. High degree of self-motivation to lead and follow through with projects. Ability to manage multiple task and projects simultaneously. Ability to handle confidential information. Highly organized and detail oriented. Experience with budget review and monitoring. Strong analytical and problem-solving skills. Strong interpersonal communication skills. Proficiency with computer software (Word, Excel, Publisher, Adobe, Word Press, etc.). Initiative and willingness to learn new approaches and develop novel departmental systems and processes. Ability to relate well with all levels of the community and people of diverse backgrounds. Ability to manage external relations, website publicity and social media. Ability to provide and respond well to constructive feedback.
