Primary Duties and Responsibilities:
Oversee event coordination and scheduling for external groups using college facilities.

  • Schedule and coordinate non-college events, including all not-for-profit organizations, utilizing college facilities (Glen Ellyn campus internal and external facilities, and Regional Center facilities). Respond promptly and courteously to client inquiries and requests.
  • Utilize reservation software system for scheduling college rental facilities (Glen Ellyn campus internal and external facilities, and Regional Center facilities).
  • Coordinate required paperwork in order to facilitate the scheduling of all necessary service providers, including campus services, food service, public safety, etc., as well as any external service providers.
  • Negotiate contractual terms with all requesting users and develop and implement contract.
  • Coordinate all services and technical needs of event, including event sound and lighting, audio/visual equipment, room set-up, food, security, etc.
  • Complete required paperwork in order to facilitate the scheduling of all necessary service providers, including Campus Services, Dining Services, Public Safety, etc., as well as any external service providers.
  • Compile and invoice all charges to clients and deposit checks in allocated fund accounts.
  • Be on call when Conference and Event Services coordinated events are taking place, or identify appropriate alternate (i.e.
  • Event Supervisor).
  • Work cooperatively with other departments to maximize facility usage, while maintaining the integrity of these areas programs.
  • Train Events Supervisors and Student Workers on event management.
  • Assist Supervisor in department management as directed.
  • Other related duties as assigned.


  • Qualifications:

    • Education
      • AA degree in Hotel/Motel Management, Marketing or Business Administration required.
      • BA degree in Hotel/Motel Management, Marketing or Business Administration preferred.
    • Experience
      • Minimum of three (3) years experience in conference and event planning required.
      • Exemplary customer service skills required.
      • Good organizational skills required.
      • Experience on a P.C required.
      • Proficiency in written and spoken English required.
      • Minimum of five years experience preferred.


  • PC system, copier, calculators, FAX machines, and audio/visual equipment.
  • Variable hours--early morning, evenings, and weekends may be required.
  • May require periodic overtime.
  • Heavy lifting may be required.
  • This position requires a background check and drug screen.


  • Pay Grade:
    Classified 12 Hourly- Hiring Range: $24.00 - 28.00

    Competitive starting salaries are dependent on education and experience. College of DuPage also offers a generous benefits plan.
