Academic Services Specialist

The Academic Services Specialist possesses strong critical thinking and technical expertise required to provide administrative oversite of the integrated library system to promote ease of access of electronic resources. This role requires a detail-oriented individual to assist with metrics capturing, analysis, and reporting of departmental activities and vendor products. Requires advanced knowledge of web-based resources, electronic resource delivery, as well as experience with business applications. We have a need for someone with strong technical skills to assist with operational functions related to library operations, to include website authoring and maintenance, general financial operations, database maintenance, user metrics collection, reporting, and analysis.

Essential Functions:

  • Assists with administrative maintenance of web-based library products and resources, including University's content management system
  • Provides project support with departmental projects and initiatives
  • Assists with the creation of new content on a monthly basis to promote databases and additional library resources on the library homepage and Alumni library
  • Communicates with students, faculty, staff, lending institutions, and publishers
  • Assists with the maintenance of database metrics/statistics and creating reports to include library vendor, website, and loaning operations
  • Creates and updates Standard Operating Procedures as needed
  • Contributes to the gathering and monthly maintenance of departmental metrics/statistics and creating reports to include library vendor, website, and loaning operations
  • Uses Google Analytics library dashboard to monitor website activity, create website reports, and promote student engagement
  • Gathers and compiles data and creates reports using database metrics, Ex Libris Alma/Primo analytics, and website metrics
  • In cooperation with library staff, coordinates pre-production, production and post production planning activities for video content creation within the library
  • Performs departmental general business operations services, to include budgets and expenses, as needed
  • Provides Interlibrary Loan and American Public university System (APUS) library lending services
  • Mastery of online searching and considerable knowledge of library products
  • Assists with the Library's social networking sites and determines content for social applications, as needed
  • Contributes to the work and management of project(s) within own function/discipline with a moderate level of guidance and direction
  • Performs other duties as assigned

Work Environment and Physical Demands:
  • Standard office environment in Charles Town, WV

  • The work itself presupposes extensive involvement with electronic media and the Web
  • Requires a working telephone along with high speed Internet access that is sufficient to access the current campus-teaching platform and Online Library site

Required Education and Experience:
  • Bachelor's Degree in Business Administration or related field required
  • Strong computer and technical skills to include website content development, website content migration, and Information Architecture
  • Strong analytical background and ability to pull data and author reports
  • Strong critical thinking skills and time management abilities
  • High proficiency in Microsoft Outlook, Word and Excel
  • Experience with Web Design and Web Development (HTML 5 / CSS / jQuery)
  • Experience with website and systems analytics and reporting
  • Experience with troubleshooting and reporting technical issues to help resolve access issues with resources and website environment
  • Familiarity with office automation packages and knowledge of the changing web software landscape is desirable

Preferred Education and Experience:
  • Preference given for focused technical certification or specialization, or Master's degree
  • Preference given for familiarity with Ex Libris Alma/Primo or SharePoint, or like library applications
  • Knowledge of the principles and practices of library functions and a working knowledge of library automation systems
  • Preference given to those with project management experience to include, experience leading projects, requirements gathering, project management
  • Preference given for knowledge of the principles and practices of library functions
  • Preference is given to candidates who have worked in online information services
  • Preference given for working/intern experience in a University setting
