Assistant/Associate Director of the Campus Center

Classification: Administrative Staff - Full-Time

Reports to: Senior Director of Auxiliary Services

Description: The Assistant/Associate Director of the Campus Center is responsible for the successful operation and management of the Campus Center, including the Information Desk, PiONEer Card Office, and related activities, including but not limited to student employee supervision, Campus Center programming/marketing activities, and assisting with conferences and special events.

Responsibilities

Management:
  • Develop and implement services that support the University ethos and strategic goals.
  • Develop, monitor, and analyze the Campus Center operating budget.
  • Create the annual Campus Center Assessment report..
  • Develop, implement, and enforce building and staff related policies.
  • Develop master calendar and facility operating hours for the Campus Center in consultation with the Bookstore, Dining Services, and Reservations and Event Services (RES).
  • Serve as building manager and main point of contact for the Campus Center and Hilger Hall conference area for building tenants, including the bookstore and dining services; and with campus partners, including physical plant, public safety, information technology services (ITS) and others as appropriate.
  • Coordinate facility maintenance and incidental, recurring and on-going projects.
  • Oversee and manage departmental social media platforms
  • Serve as a Building Coordinator during emergency situations in collaboration with the department of Public Safety and Emergency Response Teams
  • Create an environment promoting and fostering student learning and development, and establish a staff culture that supports the University Ethos.
  • Oversee vending operations to include the development, implementation and monitoring of vending refund procedures.
  • Oversee and maintain a positive relationship with banking partner and monitor campus ATMs.
  • Identify and participate in ongoing professional development, continuing education and training as required; such as ACUI, NACCU, NACAS and/or other appropriate groups.
  • Oversee enterprise applications including troubleshooting, reporting, and training (including but not limited to Blackboard Transact, Sequoia QuadPoint Retail Systems, UPS Trackpad, and ID Works to support Campus Center operations
  • Facilitate the daily, weekly, monthly, and quarterly reports for auxiliary services including but not limited to vending, dining, bookstore, banking and automated teller machines.

    Programming/Marketing:
  • Supervise and manage all Campus Center programming efforts.
  • Create and disseminate program information, oversee marketing efforts and serve as a liaison to university departments, vendors and campus partners.
  • Develop strategic student engagement priorities and objectives to ensure proper alignment with department, division and University goals.
  • Gather and analyze data and measure progress toward strategic priorities and align organizational resources to support student success.
  • Collaborate with campus partners to plan programs and special programming initiatives for all students.
  • Develop methods to provide continuous improvement and evaluation of Campus Center programs and services offered to the Carroll University community.

    Information Desk and PiONEer Card Office:
  • Recruit, select, train, supervise and evaluate student staff. Develop and manage schedule for Campus Center student employees.
  • Monitor student employee timesheets and report financial aid earnings as required.
  • Oversee the general operation of the Campus Center Information Desk to provide consistent, quality service and a positive impression of Carroll University to all constituencies/clients.
  • Implement and manage services offered to the campus community, including but not limited to card office, special occasion packages, event registrations and lost and found.
  • Manage retail operations of the Information Desk by developing and monitoring sales, deposits, credit card transactions and refunds using appropriate software and according to university accounting procedures.
  • Oversee the operation of the PiONEer Card office to provide consistent, quality cardholder services and ensure compliance with university accounting, operating and reporting procedures.
  • Implement card design, issuance and replacement, coordinate required maintenance and manage the online card office.

    Other:
  • Perform other duties as assigned in support of department and/or division needs and goals.
  • Serve as a backup to other staff members in their absence.
  • Ability to work evenings, weekends and holidays as required.


    Qualifications:

    Education and/or Experience:
  • Bachelor's degree and three (3)/five (5) years of related experience required; master's degree is preferred.
  • Experience in student center/union and/or campus card office management required.
  • Direct experience in staff supervision with particular focus on student staff required.
  • Experience in retail/cash management preferred.
  • Previous experience in staff training and development required.

    Technology Skills:
  • Thorough knowledge of MS Office applications required.
  • Ability to use and maintain voice mail and e-mail required.
  • Experience with card office, point of sale, event scheduling and other specialized and/or enterprise software preferred.
  • Familiarity with social media and basic graphic and web design and editing tools preferred.
  • General understanding of client-server computing and networking preferred.
  • General understanding of A/V equipment preferred.

  • Excellent interpersonal skills and ability to build relationships with other university departments and divisions.
