Position Description
Performs responsible and complex duties associated with a specialized function of a section of clerical employees. A thorough knowledge of policies, procedures, and methods for the area of responsibility is required. Initiative and independent judgments are frequently exercised in formulating procedures or methods, and in program coordination. Work is performed under general supervision within University policies and procedures. Job performance is based upon overall operation effectiveness.

Major/Essential Functions
  • Process procurement activities and travel reimbursements for US PREP team, providers, and district partners including: submission of purchase orders, invoices for non-employee consultants, and TTU employee travel applications/vouchers ensuring TTU policy compliance.
  • Assist in monthly tracking of p-card transactions, assists in preparation of monthly reports for submission to Procurement office.
  • Assist Business Manager in preparing financial reports as needed for funding agencies, COE Research Office, and other requested/required reports.
  • Assist in monthly tracking of the budgeted travel reimbursements as they are processed via the TTU travel system or procurement services.
  • Utilizing the US PREP travel Inbox, organizing incoming travel into appropriate folders, and archiving once travel is processed.


Required Qualifications
Proficiency in written and mathematical processes as may be reflected by the completion of high school or the equivalent. Two years progressively responsible clerical experience. Additional education and/or related experience to equal two years may substitute on a year for year basis.

Preferred Qualifications
  • Experience in processing travel, purchase orders, and p-card reconciliation in a higher education setting.
  • Ability to communicate well with all levels of professional individuals verbally and in writing.
  • Ability to be flexible and pivot as changes are needed.
  • Have strong initiative.
