Job Description:

Job Summary:


The Database Entry Coordinator is responsible for maintaining data integrity for all SUNY Press publications. They will gather the appropriate title-level data from colleagues in the Editorial department and enter the information in the SUNY Press database (SPD) for all colleagues in the Press to access and use. On the job training will be provided for this entry-level position. The most important hiring criteria is an attention to detail and accuracy.

Job Duties:

Check all change forms that are circulated by team members and make any necessary changes to the database. All changes made also need to be input into the weekly spreadsheet of updates sent to Books International (SUNY Press warehouse).
Record print run information into SPD when inventory is received in the warehouse, and change the availability status in the database to AVAIL from NYP
Update contributor addresses for gratis (free) copies
Enter information about the project in the manuscript field of the SPD
(For projects with advance contracts only) Enter projected manuscript delivery date from the advanced contract. Create skeletal new book fact sheet for the project. Update the Advanced Contract folder on the P drive with the title ID from the new book fact sheet.
Add authors / editors to the people field of the SPD
Add reader information to the SPD, including report rankings, honorarium information if appropriate and reader address information
Enter projected manuscript delivery date from the contract in the SPD
Create a new book fact sheet page for the project in the SBD. Update the contract folder on the P Drive with the title ID from the new book fact sheet.
Add authors/editors to the people field of the SPD
Add contributors to the SPD
Complete the missing information in the new book fact sheet in the SPD
Complete all appropriate rights and information fields in the SBD
Update ISBNs; create bar-codes
Verify pricing, verify pubdates, add ebook pricing and pubdates, assign ISBNs for three types, update availability for three types
Enter subject codes for catalog

Requirements:

Required Education/Qualifications:

Good communications skills
Exposure to data processing concepts and procedure writing
Familiarity with account structures, retrieval languages and programs, and appropriate computer software
Skills in analysis equivalent to Bachelor's degree training
Strong written and oral communication skills
Interpersonal skills
Attention to detail
Time management and organizational skills
Ability to handle multiple projects simultaneously and meet deadlines
Experience with MS Office (particularly Access and Excel)
