JOB SUMMARY

Working collaboratively with the Dean's Office personnel, Teacher Certification Program for College Graduates (TCPCG) colleagues, faculty, professional staff, and others, the Teacher Certification Program for College Graduates (TCPCG) Educational Program Assistant 2 performs a variety of administrative duties in support of an academic unit to ensure the effective implementation of its programs and/or activities on the Hartford Campus. This role provides administrative and programmatic support for TCPCG Hartford, including administering seminars, workshops, and other events as needed. This is a student-facing position that provides significant support to students.

DUTIES AND RESPONSIBILITIES
  • Attends all orientations and interviews that may extend beyond regular workday hours.
  • Assists the Associate Director of Teacher Education-TCPCG with administrative support for the program.
  • Responds to all inquiries for Hartford's Teacher Preparation Program (TCPCG). This includes explaining program policies, procedures, and requirements.
  • Manages Special Payroll and other disbursements for summer TCPCG faculty, adjuncts, clinical supervisors, and support staff.
  • Supports instructors, including faculty and adjuncts, and students in person when classes are held on campus. This entails additional hours outside of the regular workday schedule and on weekends.
  • Responsible for all clinical placements (summer divergent early, alternative summer session 2, fall, and spring) in the public school system which entails numerous contacts with superintendents and human resources offices. Includes fingerprinting/background tracking, coordinating student teaching video recordings with school superintendents and principals, and initiating and monitoring agreements with district partners.
  • Serves as the first point of contact for admissions for the Teacher Certification Program for College Graduates at Hartford: processes applications, audits transcripts, monitors compliance with admission requirements, provides information on needed coursework and placement tests, reviews admission application materials, coordinates, and schedules interviews, and follows through with all applicant admissions, deferrals, and denial decisions.
  • Assists with coordinating the annual certification process for all TCPCG Hartford graduates.
  • Coordinates registration and scheduling of courses and maintains accurate records. Responsible for rosters, grade reports, and academic records, ensuring all meet Connecticut State Department of Education certification requirements.
  • Schedules and monitors compliance with all certification and program requirements: Mandated Reporter Training, Dyslexia Training, Gifted and Talented Training, Active Threat Training, Bullying Prevention Training, Suicide Prevention Training, and certification exams (Foundations of Reading, Praxis II, ACTFL, and Praxis Core), as well as general education coursework requirements and subject area coursework requirements.
  • Collects program and student data and prepares reports for the Neag School of Education Dean's Office.
  • Fulfills all aspects of adjunct, faculty, and University supervisor contracts: completing dual employment forms, entering special payroll authorization requests, preparing offer letters, facilitating the completion of I-9s, and providing tax forms and direct deposit information when needed. Also coordinates summer pay for tenured faculty and processes graduate student assistantships. Finally, enters all information into SmartHR via the CoreCT system.
  • Arranges all Cooperating Teacher and Clinical Supervisor honoraria/payments, determining which system payments are processed through for each. Utilizing HuskyBuy supplier application and disbursement vouchers or the Special Payroll/Smart HR system as required.
  • Manages general office operations: processes and maintains necessary data, files, paperwork and records on all applicants, enrolled students, and faculty compliance with State of Connecticut laws and requirements.
  • Serves as backup for Avery Point, Stamford, Waterbury, and IB/M teacher education programs.

MINIMUM QUALIFICATIONS
  • Bachelor's degree.
  • Two to three years of related experience providing administrative and/or programmatic support.
  • Excellent interpersonal skills and the ability to work with diverse groups.
  • The ability to work effectively, independently, and regularly exercise judgment regarding a wide variety of administrative matters.
  • The ability to work effectively as a team member.
  • Proven ability to resolve complex problems efficiently, effectively, and independently.
  • Excellent organizational, written, and verbal communication skills with attention to detail.
  • The ability to work occasionally on weekends and evenings and travel to other campuses may be required.
  • Excellent computer skills including spreadsheets and Microsoft Office programs.

PREFERRED QUALIFICATIONS
  • Master's degree.
  • Experience working in a higher education institution and with students and faculty.
  • Demonstrated ability to learn and adapt to new software/procedures as needed.
  • Familiarity with Kuali, CORE, PageUp, HuskyBuy, HuskyCT, PeopleSoft, SIS, and Perceptive Content.

This is a full-time position, 100% employed, located at the UConn Hartford campus.
