Responsibilities:
The Executive Assistant to the Vice President of Alumni Relations and Annual Giving executes a variety of time-sensitive and complex responsibilities including written and oral communication with university leaders, alumni, and community members on substantive and often confidential matters, conducting data gathering, analysis, and reporting, and serving as a resource on a wide range of topics and critical issues. Responsibilities include the preparation of draft communications and special messaging on behalf of the VP, strategically scheduling meetings and providing support, arranging domestic and international travel, accurate submission of VP's expense reporting in accordance with university policies and systems, proofreading documents, and conducting research for requested projects. The Executive Assistant serves as the liaison to the VP for incoming telephone calls or emails, assessing the proper course of action and responding or referring as appropriate. They are responsible for developing effective systems to manage the VP's administrative needs and will have the ability to manage projects effectively from start to completion. They will provide planning and oversight to ensure that the VP's time is effectively allocated and that information is both provided and appropriately recorded to advance the priorities of the Office of Alumni Relations (OAR) and Annual Giving (AG).

Additionally, the Executive Assistant will provide administrative support for the Assistant Vice President of Alumni Relations as requested. This may include scheduling meetings, arranging travel, expense reporting, document preparation, and data manipulation, analysis, and reporting. Meeting coordination for all OAR and AG senior leaders will also be carried out as needed.
The person in this role must be able to represent the Vice President, the university, and the Office of Alumni Relations and Annual Giving in a professional and enthusiastic manner with a customer service focus. Evening and weekend work is required as needs dictate. Responsible for other projects and duties as assigned, including assisting at several general events throughout the year.

As a member of the Advancement division, it is essential for the Executive Assistant to understand and actively support the role philanthropy plays in engaging the Northeastern community.

Qualifications:
Bachelor's degree required with 3-5 years of experience in an office environment; Experience working in higher education a plus. Candidate must be a mature professional who can manage and facilitate an intense workload and produce quality results in a fast-paced environment. Must be able to manage multiple priority projects at once with ease and efficiency. Must be a self-starter who is highly motivated, can think independently and analytically, is organized, and extremely detail oriented. Must be proactive, anticipate problems, and be resourceful to find workable solutions, and should work well with others at all levels. The ideal candidate has experience with the gathering, analysis, and reporting of data. Evening and weekend work is required as needs dictate.

The ideal candidate has direct experience in information management and possesses strong written and verbal skills. Experience with managing databases is essential. One additional writing sample is required.
