About the Opportunity:
Reporting to the Associate Director - Faculty Affairs and HR Administration for the Bouve College of Health Sciences, the HR Associate will oversee activities and processes for hiring new faculty and staff and ensure accurate submission of the more than 400 part-time faculty appointments processed annually, all externally funded hires, non-salaried appointments and various faculty and staff hires. Responsibilities include coordination of the departments' recruitment/hiring process including confirmation of verification of employee eligibility; I-9s, e-Verify process. He/She will direct 15 mini Key Contacts in coordinating all HR activities and serve as primary SEVIS contact overseeing visa applications. S/he will monitor visa and funding expirations and work with the departments to facilitate employment/visa extensions and terminations, as appropriate. S/He will establish protocols and securely store employee records, manage hiring/employment data and ensure processing deadlines are met. This position requires multilevel coordination with a variety of departments across the college and NU including college human resources administrators, Office of the General Counsel, the Office of Global Services, academic hiring managers and research and finance areas. S/he will provide training on various HRM systems, as needed, to faculty/staff throughout the college. S/he will respond to staff/faculty inquiries, which requires a comprehensive knowledge of HR policies and procedures. This position will manage the college-wide time tracking system to ensure that vacation accruals are accurate for all benefits eligible faculty and staff and serve as point of contact for resolving issues, responding to requests and providing training. In addition, s/he will work alongside the Associate Director in the overall spring salary review, performance appraisal and merit process. S/he will participate in strategic teams focusing on HR related processes. This position will also have responsibility for reviewing faculty/staff appointment data; submitting a variety of HR actions on faculty and staff, and responding to inquiries from HRM and Payroll Departments. S/He will collaborate on special projects on an as needed basis with the College Budget Associate Director and Associate Dean of Administration and Finance and College Dean.
Bachelor's Degree required, Master's degree in business administration or human resources preferred. Position requires a minimum of 2-5 years of relevant administrative experience, human resources management preferred. Experience in Operations preferred. Experience in Higher Education preferred. Demonstrated ability to exercise discretion in handling all information, especially confidential, is essential. Excellent organizational, analytical, communication, customer service, and interpersonal skills required. Candidate must also be able to work accurately and effectively with salary data and confidential information; demonstrate skills in teamwork and collaboration; have a high level of proficiency in MS Office applications [Access, Excel, PowerPoint and Microsoft Word]. Experience using Banner-HR preferred. The ability to learn new technology and systems quickly and apply them to daily tasks is key. The ability to think independently and work autonomously, utilize organizational skills and coordinate information across departments necessitates that this person has a demonstrated aptitude for clear communication, good judgment and decision making. Candidate must demonstrate a high level of agility and a strong ability to lead teams towards meeting goals in a large organization.
