Job Summary/Basic Function:
POSITION SUMMARY INFORMATION:
Provides general telephone and counter assistance for employees and customers for Lamar University. Provides administrative support within the Human Resources Department. This position will be the first point of contact for the HR building.

DISTINGUISHING CHARACTERISTICS:
Work involves document review and verification for I-9 process, e-Verify, employment verifications and background checks, greeting and directing callers and walk-in visitors to appropriate staff, responding to routine inquiries, and providing daily mail courier service for the department.

EXAMPLES OF ESSENTIAL FUNCTIONS:
  • Contacts and receives all new employees
    to assist them in completing form I-9.
  • Reviews identity documents, ensuring
    authenticity. Makes copies and certifies
    I-9's on behalf of employer.
  • Completes online e-Verify process to
    validate employee identity.
  • Receives authorizations and conducts
    background checks for employment
    candidates.
  • Reviews background results for
    acceptance, or refers for further analysis.
  • Receives authorizations from employees
    or lending institutions and completes
    verification of employment documents.
  • Greets visitors and notifies staff of their
    arrival.
  • Provides daily courier service for
    department. Opens, dates, and distributes
    mail.
  • Provides general office support such as
    copying, faxing, assembling materials, and
    maintaining office supplies. May provide
    back-up administrative assistance to
    departmental staff in all areas.
  • Conducts searches in an HR information
    system (Banner) to retrieve information.
  • Responds to requests for personnel
    records and employee information.
  • Maintains a positive service orientation
    with students, faculty, staff, and external
    customers.
  • Answers phone and sends the calls to the
    appropriate HR staff member.
  • Performs other duties as assigned.

    Minimum Qualifications:
    EDUCATION AND EXPERIENCE:
    High school diploma or equivalent required. Related college level courses a plus.
    Two years of full-time experience directly related to the duties and responsibilities specified.
    Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

    KNOWLEDGE, SKILLS, AND ABILITIES:
    Knowledge of general office practices and
    procedures and use of office equipment.
    Knowledge of records management.
    Knowledge of spelling, punctuation,
    grammar, and arithmetic.
    Communication skills to support a friendly,
    helpful demeanor, good listening skills and
    ability to provide clear instructions in
    writing or verbally.
    Skill in detecting and resolving errors.
    Reliable and responsible with regard to
    attendance, punctuality and ability to meet
    deadlines
