Position Summary:
This part time position (80%) provides clerical and scheduling support to the Dean and programs in the Math & Sciences Division, as well as serves as front-line staff for student and faculty support. This position performs varied administrative and secretarial support duties for the Math & Sciences division, including office logistics such as ordering supplies, tracking documents, maintaining records, and preparation of division paperwork. This position requires many daily interactions with students, faculty, the Dean, and other staff, all while working in a professional, collaborative, multi-cultural and diverse environment. This position reports directly to the Program Manager and indirectly to the divisional Dean.

This position will remain open until filled, with first review of applications on January 7, 2019.

Essential Functions:
Support the Program Manager with all tasks related to the coordination of quarterly faculty/student assignments, including but not limited to:
  • Customer service and collaboration: Have frequent contact over the phone and in person with students, the public, faculty, and management; work with students in the calculator loan program; provide information on programs and procedures and respond to inquiries;
  • Office support: Assist in maintaining records, collecting, reviewing, and processing faculty travel authorization requests and travel expense vouchers; handle division room reservations; distribute entry codes as requested; create quarterly intent letters; order faculty keys and NETIDs quarterly;
  • Office record-keeping: track faculty syllabi and post in public folders; monitor and assist faculty, as needed, with quarterly book orders;
  • Office resource support: provide support to operate and troubleshoot office equipment; complete facilities requests; order office supplies, as needed;
  • Perform related duties as assigned, including providing back-up for Office Assistant Lead duties


Required Education, Experience & Abilities:
  • Evidence of strong computer skills using Microsoft Office, including Outlook, Word, and Excel;
  • Evidence of written and proofreading skill, including work requiring attention to detail;
  • Excellent customer services skills, including strong interpersonal and oral communication skills, punctuality, and reliability;
  • Possess the ability to handle frequent interruptions and changing work assignments;
  • Demonstrated excellent organizational skills;
  • Demonstrated ability to communicate and work effectively with people from diverse, racial, ethnic, religious, linguistic, gender, age, sexual orientation, and socio-economic status backgrounds, and those with physical and/or learning disabilities.
