Position Summary:
The OCE&E Program Coordinator is a full time, permanent, classified employee of North Seattle College. This is a unique opportunity to work in innovative, customer focused multi-service center.

The purpose is to provide logistical, operations, and administrative support, and to provide process and communication coordination for staff and partner organizations in the building. This position is in support of the OCE&E mission and the commitment to an integrated model of service delivery, and is essential to achieving full potential of this model. The Program Coordinator is expected to provide excellent customer service, to work collaboratively with partners, and to model behaviors necessary to the work of integration. Although College-employed, this position maintains a cross-partner, building-wide perspective in carrying out the role.

Essential Functions:

Administrative, Operations, Program Coordination (30%)

  • With the Integration Manager, develop and maintain building-wide OCE&E processes and procedures.
  • Maintain OCEE internal HR database using Microsoft Access as basis for integrated staff reports.
  • Facilitate operational onboarding, training for staff including IT, telecommunications, building access / keys and parking.
  • Provide problem-solving for operational and facility issues. Serve as key liaison with College support departments.
  • Coordinate complex scheduling with and for OCE&E partners, internal teams / committees, and external stakeholders. Coordinate room reservations and meeting arrangements.
  • Assist the Integration Manager with budget tracking and accounting.
  • Assist the Integration Manager with development & tracking of resource sharing agreements with College.
  • Coordinate purchasing and supplies.
  • Provide support to specific programs and events, such as Kids' Area*, Computer Basics Mentoring*, building-wide safety program, etc. *May be asked to provide occasional staff coverage and/or direction.

Integration Support (30%)
  • Develop and maintain collaborative working relationships with OCE&E organizational partners, as well as with OCE&E staff.
  • Assist the Integration Manager in developing, carrying-out, and tracking an OCE&E integration plan.
  • Assist selected building-wide committees and integration initiatives.
  • Provide staff support to key stakeholder and decision-making groups -- including the OCE&E Leadership Team, Executive Policy Committee, etc. (Record meeting notes and track action items.)
  • With the Integration Manager, support and facilitate staff engagement.
  • Represent the OCE&E and an integration perspective when requested by the Integration Manager.

Communication Coordination & Support (25%)
  • With the Integration Manager, develop and coordinate internal communication tools / processes to engage staff and inform them of changes. Includes staff intranet, week-at-a-glance schedule, email communications.
  • With Integration Manager, develop and maintain communication tools and materials for external audiences both web-based and print.
    • Maintain OCE&E digital signage and interactive way-finding kiosk.
  • Assist in developing and carrying out an OCE&E marketing and communications plan.

Reporting & Data Tracking (15%)
  • Coordinate and/or maintain data entry and tracking of selected data for OCE&E activity. Provide monitoring reports upon request, including OCE&E customer feedback and utilization of the Kids' Area.
  • Assist in data collection, preparation and completion of internal and external reports to stakeholders. This includes the annual OCE&E Report to the Washington State Legislature.



Required Education, Experience & Abilities:
  • Bachelor's degree OR associate's degree with 2 years of administrative work experience.
  • Strong organization skills & attention to detail. Ability to manage & prioritize multiple, varied, and sometimes competing demand while exercising sound judgment.
  • Ability to work independently, as well as collaboratively as part of or in support of a team.
  • Excellent customer service skills.
  • Excellent interpersonal communication skills.
  • Strong written and oral communication skills.
  • Strong proficiency & experience using Microsoft Office Suite (Work, Outlook, Excel, Access).
