Position Summary

Salary range for this position is: $41,508 to $54,000 per year (depending on experience)

Under the supervision of the Dean of Enrollment Services/Registrar, the Program Specialist 2 will be responsible for assisting with the daily registration, records, and credentials operations. Enrollment Services Program Specialist 2 will be working in a multi-tasking environment and correspond with students, staff, and faculty.

This position is governed by a collective bargaining agreement with representation by WFSE

What you will be working on:
  • Advising students, staff, faculty, and the public on information related to registration, records, and credentials processes and administer and interpret policies that provide the effective operations of RRC (Registration, Records, and Credentials) in compliance with federal, state, and institutional regulations.
  • Communicating with faculty and division deans on a quarterly basis to provide detailed explanation of class rosters, grading, and incompletes and initiate training, resolve issues, and coordinate with faculty as it pertains to grade rosters.
  • Developing and providing students, staff, and faculty a list of important registration dates.
  • Processing all grade changes and grade re-computations, legal name changes, and complete enrollment verification requests and provides student information requested through student record subpoenas.
  • Processing academic alerts, probation, and suspension and notifying campus partners of student quarterly standing.
  • Preparing written communications such as monthly and annual reports.
  • Responding to student, staff and faculty inquiries via in-person, email, phone calls, and voicemails and supporting general registration and records functions, such as: processing all enrollment related forms, late grades, student term activation, and enrollment transactions.
  • Fostering and maintaining relationships with college and community partners who provide services that support student grading.
  • Evaluating programming, assessing, and responding to evolving needs. Providing data and assessment reports and summaries as required highlighting program accomplishments, challenges, and opportunities.
  • Preparing training material related to the position's essential functions for Peoplesoft as directed by the Dean of Enrollment Services/Registrar.

What you bring as a candidate: (Any Equivalent Combination of Knowledge, Skills, Abilities, Education and Experience)
  • Associates degree with a minimum of two years' experience in a college setting or a minimum of four years of experience working in a college setting.
  • Ability to accurately perform multiple tasks in a timely manner within a diverse environment.
  • Advanced knowledge and ability to use Microsoft products, including Outlook, Excel, Word, SharePoint, and Forms.
  • Demonstrated knowledge of PeopleSoft or another student management database.
  • Demonstrated ability to research and investigate academic issues that relate to student registration, records, and credentials.
  • Evidence of ability to interpret detailed information, trouble-shoot academic and systems issues.
  • Demonstrated ability and experience working with persons from diverse ethnic, economic and academic backgrounds.
  • Evidence of ability to work independently within a multi-task environment.
  • Excellent verbal, listening, and written communication and customer service skills.
  • High attention to detail, excellent problem-solving skills, and the ability to work collaboratively with unit team members and all areas of the college.
  • Exhibit strong problem-solving skills and experience, including identifying and resolving problems and implementing solutions.
  • Experience enforcing policies, rules, and regulations, as it relates to the position.
  • Detail-oriented with a focus on qualitative outcomes.


Physical Requirements:

Ability to perform range of physical motions, exerting up to 25 pounds; lifting and carrying up to 25 pounds; standing, walking, sitting for long periods of time, kneeling, squatting, and stooping; and traversing up and down stairs.
