In compliance with SB 1162, Western University of Health Sciences is providing a pay scale for this position. The pay scale reflects the minimum and maximum target for new hire salaries for this position. Within this range, the individual pay is determined by a variety of factors, including but not limited to job-related skills, experience, relevant education or training, and work location. Please note that the compensation details listed reflects the base salary only.

Job Summary
Provides support to the Office of Academic Affairs, College of Osteopathic Medicine of the Pacific, Clinical Rotations by assisting the OMS III and OMS IV students with their enrollment at the rotation sites. Collaborates with other student coordinators on team and all-staff projects. Supports COMP by developing and overseeing its relationships with campus-based faculty, adjunct/clinical faculty, clerkship directors, medical staff office personnel, graduate medical staff regarding curriculum matters for students. Ensures OMS III and OMS IV students secure and complete core and elective clinical rotations as required by the COMP curriculum.

Knowledge, Skills and Abilities
Individuals must possess these knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.

1. Excellent computer skills. Required to set up document formats in Word, Excel, Outlook, and any other software program required by the position. Able to type at least 45 words per minute.

2. Excellent verbal and written communication skills. Ability to interact with administration, faculty, staff, students, and clinical sites.

3. Excellent problem-solving skills.

4. Excellent ability to organize and prioritize workload in order to meet multiple urgent deadlines.

5. Ability to handle detail-oriented assignments and be flexible with job assignments.

Required Qualifications
1. Education: Any combination of education, training, or experience that provides the required knowledge, skills and abilities need for the position. High School Diploma or GED required.

2. Experience: 2 - 4 years clerical office experience.

Job Duties
Core and Elective rotation scheduling:
- Secure core preceptor availability. Assign and coordinate core rotation scheduling with assistance from the Medical Education Manager
- Assist OMS III and IV students with elective rotation scheduling, ensuring compliance with core site scheduling policies.
- Advise, counsel and assist students in selecting, securing and completing rotation process at non-core sites.
- Provide VSAS (Visiting Student Application Services) support for OMS IV students.

Communication:
- Notify students of confirmed rotations; provide students with all information necessary to commence and complete the rotation, including: the location, nature of rotation, schedule, and application/orientation procedures.
- In a professional manner, work with students, faculty, preceptors, and rotation sites to coordinate adjustments, additions, deletions and modifications to rotations schedules.
- Provide prompt feedback to administration in reporting problems and successes at rotation sites based on student feedback and scheduling.
- Serve as a liaison between faculty, preceptors and students on a range of academic, administrative and/or personal issues as required.
- Provide students with guidance regarding clinical education policies and procedures; ensure student compliance.

- Maintain accurate and organized rotation records for students, preceptors, and rotation sites in a confidential manner, ensuring that ethical and legal guidelines are maintained.
- Assist department with data entry for the DO Rotations Lottery (once per year).
- Operate numerous databases and systems, and provide user feedback on an ongoing basis to streamline processes-including: OTRS, DO Database, VSAS, SharePoint, and Blackboard.
