Job Description:
Madison College is now accepting applications to join our dynamic Scholars of Promise team in the role of Administrative Specialist. The Madison College Scholars of Promise program is an initiative giving hope to students who feel that college is out of their reach due to financial barriers. The program's purpose is to increase access to higher education for members of our district, specifically promising low-income students the ability of achieving their dream of attending college by providing financial aid and scholarships, for which they are eligible, to cover the cost of tuition. We are seeking an energetic and dedicated individual who has the ability to collaborate with students, other staff, and the community at our renowned Truax Campus. Madison College offers a generous benefit program including health and dental benefits. The employee selected will serve a twelve (12) month introductory period. This position does not offer a relocation package.

This is a full-time, non-exempt, 52 weeks per year position. Monday - Friday from 8:00 a.m. - 4:30 p.m.

Organizational Function and RELATIONSHIPS:
This position assists the Scholars of Promise Manager in a wide variety of duties. The Scholars of Promise - Coordinator is expected to understand and interpret district and College policy with discretion, make appropriate referrals, and be knowledgeable of outreach programs and strategies. This position provides support to student recruitment efforts throughout the district.

This position reports to the Scholars of Promise Manager.

Essential Duties:
The following duties are expected of this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

1. Manages and provides lead administrative oversight for all SoP program operations including front desk functions, clerical support, customer service, intake, and phone and email operations.
2. Coordinates student employee hiring (position descriptions, posting, recruiting) and day-to-day responsibilities within Scholars of Promise ensuring adequate office coverage.
3. Provides administrative support to Program Manager and SoP staff involving communications and reporting needs.
4. Provides general clerical office and program support for document orientation and progress reports.
5. Provides skilled, high-level troubleshooting of student issues and offering triage opportunities to address student needs.
6. Provides administrative support to Scholars of Promise Program Manager; drafts communications; processes incoming and outgoing email; maintains and monitors statistical and historical data and records; performs data entry.
7. Establishes and maintains electronic content management of confidential records within database systems.
8. Assist the Scholars of Promise office in operational duties such as ordering materials, processing payments, and other duties.
9. Coordinates all marketing and outreach materials to include fliers, posters, newsletters, and other items to communicate to Scholars of Promise participants.

Knowledge, Abilities, and Skills
1. Ability to prioritize and handle several tasks at once.
2. Knowledge of recruitment strategies.
3. Skill in planning, organizing, and completing tasks.
4. Ability to establish and maintain effective working relationships with all stake holders.
5. Ability to travel to designate District sites as needed.
6. Skill in oral and, written communication, especially with individuals with limited English proficiency.
7. Demonstrated skill in communications and human relations with populations of diverse socioeconomic and racial backgrounds and persons with disabilities.
8. A strong history of successful work with diverse populations.
9. Knowledge of current office procedures including skills in use of microcomputers and standard software packages.
10. Ability to research and reconcile data derived from multiple sources or documents.
11. Ability to coordinate own work with that of others, to review the work of others and maintain the appropriate quality of standards for assigned units of work.

QUALIFICATIONS:
1. Associate's degree from an accredited institution in social work or closely related field or equivalent combination of work and education.
  • Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.

2. One (1) year, (2,000 hours) of responsible work experience directly related to the skills required to successfully perform the position.
3. Bilingual English/Spanish (preferred).
