Madison College offers a generous benefit program including health and dental benefits. The employee selected will serve a twelve (12) month introductory period. This position does not offer a relocation package.

This is a full-time, non-exempt, 40 hours per week; 52 weeks per year position. Monday and Tuesday from 9:30 a.m. - 6:00 p.m., and Wednesday through Friday from 8:00 a.m. - 4:30 p.m. Anticipated start date of July 6, 2020.

ORGANIZATIONAL FUNCTION AND RELATIONSHIPS

This position provides Payment Center, Enrollment, and Financial Aid customer service to prospective and current students in the Enrollment Services area. This position answers questions about Madison College and its processes; provides front-line services to students regarding their account, Admissions status, and financial aid eligibility; receives tuition payments; and utilizes various technologies to schedule appointments for the Admissions, Records, Registration, Financial Aid, and Veterans Benefits staff as well as register students for their classes.

This position reports to the Director of Student Financial Support Services and receives work direction from Enrollment Center Coordinators.

ESSENTIAL DUTIES

The following duties are typically expected of this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
  • Advises, investigates, problem-solves, and resolves questions and issues from prospective and current students, alumni, parents, faculty, and staff regarding tuition and fee charges.
  • Prepares reporting of student account receivables and reconciliation with Student Financial Services for daily operations and reconciliation purposes.
  • Notifies students of delinquent accounts, maintains and documents student contact history, and prepares necessary follow-up for student documentation.
  • Maintains current knowledge of federal and state collection regulatory changes. Assists Enrollment Services by providing the following in-person services: appointment triage and scheduling; triage campus service referrals; document intake and review for Enrollment Services Units to ensure accuracy and completeness; processing records, registration, and account creation documents; and, respond to internal and external customer needs via CRM.
  • Provides clerical support and coordination through data entry, mailings, file set-up, and file maintenance or historical record keeping.
  • Responsible for Enrollment Center daily operations as well as acting as a liaison and contact for Madison College Public Safety, Custodial, Maintenance, and Facilities Service.
  • Demonstrates a commitment to the college values of excellence, respect and integrity.
  • Other duties as assigned by management of Student Financial Support Services.


KNOWLEDGE, ABILITIES AND SKILLS
  • General knowledge of cash handling processes, procedures, methods and terminology.
  • Working knowledge of federal and state cash management rules and best practices.
  • Demonstrated skill handling escalated situations and distressed individuals, while handling sensitive issues with confidentiality.
  • Ability to troubleshoot and resolve problems as they arise.
  • Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities.
  • Ability to use critical thinking skills to answer a variety of questions and determine the best course of action for the student.
  • Knowledge of modern office practice, grammar, spelling, punctuation and proper English usage.
  • Ability to work independently the majority of the time.
  • Demonstrated ability to use a variety of technologies including multifunction printers, facsimile machines, networked phones (CISCO) and computers, Microsoft Team Dynamics (CRM), enterprise content management (OnBase), customer queueing (Qnomy), student information systems (PeopleSoft), and technology with working remotely.


QUALIFICATIONS

1. Associates degree or two year technical certificate from an accredited institution in Business, Education Administration, Office Administration or related field; OR two (2) years (4,000 hours) of related work experience directly related to the skills required for successfully performing this position.

*Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.

2. One (1) year (2,000 hours) of work experience within a higher educational institution. This experience must also include one (1) year of demonstrated experience in a cash-handling environment.

3. Preference given to applicants who are bilingual, preferred Spanish speaking.

4. Cannot be defaulted on federal student loans.
