Position Announcement
This position plays a vital role in supporting the success of Utah Valley University's Dining Services by providing high-level clerical and administrative support to the Director and leadership team. The role offers the opportunity to apply advanced administrative skills in a dynamic campus environment, contributing to both daily operations and long-term planning through budget administration, facilities and inventory management, invoice processing, ePAFs, and specialized record-keeping and database management.
Employees in this role are trusted partners in coordinating meetings, program functions, and special events, helping ensure Dining Services operates efficiently and effectively in service of the campus community. This position is ideal for detail-oriented professionals who enjoy managing complex administrative processes, supporting leadership, and making a meaningful impact on student and employee experiences at UVU.
Summary of Responsibilities
- Performs advanced and confidential administrative support duties, including composing routine correspondence, meeting minutes, financials, and obtaining factual information requiring knowledge of policies/procedures of assigned and work-related areas.
- Informs students, faculty, and the public about departmental and university services available and responds to incoming requests for information.
- Coordinates the preparation and submission of various reports, including timecards, PAF's, ESAF's, new hire paperwork completion and submission, requisitions, purchase orders, travel requests, index tracking and reconciliations, budget balances, etc. Establishes, updates, and maintains files, inventories, ordering, receiving, billing, distributing, and reconciling expenditures. Coordinates the payroll process, including preparation, submission, monitoring, and maintenance of payroll records.
- Maintains inventory of office equipment and supplies, and administers other office duties as needed, which may include supervision of office support.
- Performs other job-related duties as assigned.
Qualifications / Licenses / Certifications
- A high school diploma or equivalent, along with four years of previous administrative experience in related key roles and responsibilities, is required.
- A valid/current driver's license is required.
- Associate degree in business administration or another administrative field.
- Experience as an event planner is preferred.
Knowledge / Skills / Abilities
Knowledge
- Working knowledge of bookkeeping, including accounts payable and invoicing.
- Skill in office methods, techniques, practices, and procedures.
- Skill in the use of computers and computer software applications, including word processing, spreadsheets, email, internet, databases, and presentations.
- Skill in the preparation and interpretation of reports, charts, graphs, and tables.
