Work Schedule: 40 hours a week. This is a 52 week (year-long) Full-time Grant-funded position. Funding for this position is contingent upon the terms of the grant. This position is funded through 09/30/2027.
Under general supervision, the Student Services Specialist collaborates with team members in recruitment, enrollment, testing, and retention for various programs and represents MATC processing high volume admissions applications at high schools and community organizations. Work is diversified requiring knowledge of student services and the use of judgment, analysis and decision making within established procedures. Supervision received is general in nature using established policies and general objectives occasionally referring to supervisor for policy clarification or interpretation; works with other professionals in a teamwork approach. Communication is continuous between the division, school partners, specialized agencies, and community organizations.
Characteristic Duties and Responsibilities
- Advises current and prospective students with academic decisions, career development assesses, provides support service options to address personal, family and social issues.
- Advises students with class selection, assesses test scores, reviews transcript and program plans, registers students in alignment with course availability, provides entry options, curriculum, academic and performance preparation.
- Verifies student compliance of State CBC requirements, submits background check results and state forms to hospitals and child care centers, completes manual and online clinical placement, proactively supports student's charge removal for no convictions, processes State Challenge forms, Rehabilitation Review, and Pardon and Expungement.
- Explains career sheets and/or program information to applicants, may serve as language interpreter to assure understanding of program requirements and career pathway options at MATC.
- Advises students about program course availability and program changes.
- Ensures delivery of excellent customer service, including face-to-face, telephone, electronic, and print transactions.
- Identifies students in need of career planning, special needs, and counseling; refers applicants to appropriate MATC support services and/or community-based organizations/agencies.
- Provides information about services available to students at MATC; collaborates with admissions, counselors and other professional personnel to monitor referrals and progress.
- Provides individual and workshop format information on interviewing and job searching.
- Acts as liaison with community-based organizations/agencies to recruit disadvantaged and minority students.
- Collaborates with division leaders to ensure delivery of academic advising and career services to current students and graduates.
- Collaborates with new student orientations at MATC; represents MATC at high school orientations and/or functions, provides tours of MATC campuses to prospective student groups.
- Assists in devising and developing student services procedures, generates and maintains student services reports.
- Represents MATC at advisory boards, public, private, and business committees in the community.
- Serves as student group advisor.
- Participates in workshops, in-service trainings, student services, instructional and college steering or success committees, advisory boards, and sub-committees or educational activities as assigned.
- Performs other related duties as required for the efficient operations of the division.
Qualifications
MINIMUM QUALIFICATIONS
Education/Experience: Associate degree in Education, Behavioral Sciences, Business, or Marketing with at least three (3) years of related experience*
Preferred Experience: Bachelor's degree in Education, Behavioral Sciences, Business, or Marketing with at least one (1) year of related experience*
*Related experience includes: Occupational experience in the area of recruitment (student or employment) or direct sales and marketing
Preferred License/Certification: CPR/First Aid Certification.
KNOWLEDGE, SKILLS, AND ABILITIES
- Knowledge of general entry admissions and enrollment procedures.
- Knowledge of programs and transfer credit applications.
- General knowledge of community-based organizations/agencies structure and services.
- Working knowledge of marketing principles to guide behavior and decisions.
- Excellent organizing skills with an ability to prioritize and manage multiple tasks and a variety of demands including coordination of events with multiple teams.
- Ability to communicate effectively through both oral and written means while projecting an image of high professionalism.
- Must possess a high caliber of customer services skills in order to establish and maintain effective working relationships with MATC staff, faculty, students, representatives from outside agencies, business community and the general public.
- Demonstrated ability to work effectively with people of diverse backgrounds and promote a positive working environment.
- Demonstrated ability to create, structure, and deliver public presentations to a variety of groups.
- Self-starter with the ability to work independently, and as a team member.
- Ability to access and disseminate information using computers and proficient knowledge of Microsoft Office Suite including Excel, PowerPoint and Word.
- Ability to work flexible hours to include evenings and weekends as necessary.
- Ability to possess a valid Wisconsin driver's license, vehicle, and proof of auto insurance.
Supplemental Information
Start Date: This position supports the STEM Pathway and is available to start immediately.
Hours: This position is a full-time position and works 40 hours a week. This position is limited term and is subject to end on September 30, 2027. If additional funding is not secured the position may end. All work must be conducted in the state of Wisconsin.
Compensation: Hourly rates are listed up to the midpoint of the range and placement is determined based on years of experience, internal salary equity, and a review of the applicant's employment and educational background as listed on the job application.
