The Assistant Registrar, Admissions and Records Assistant III operates under limited supervision and is responsible for overseeing and coordinating a wide range of daily tasks related to enrollment services and records management. This role supervises the Admissions and Records Assistant II, ensuring front-line services are delivered accurately, efficiently, and with a high level of customer service for students, faculty, and staff. The successful candidate will demonstrate strong leadership in managing daily workflows and must be proficient in key systems, including PeopleSoft, OnBase, Cisco Finesse, and Greymatter. This position provides essential managerial support for front desk operations at the Henderson Campus, with the flexibility to assist at any of the three CSN campuses as needed. Exceptional punctuality and consistent attendance are critical to the effective management of front desk operations, ensuring reliable support and seamless daily workflows. Through dependable managerial oversight and continuous operational support, this position significantly enhances the overall efficiency of the Office of the Registrar and contributes to consistent, high-quality service across all CSN locations. Additionally, the role fosters a welcoming and inclusive environment that promotes connection, pride, and shared commitment within the CSN community.
Duties will include
- Provide strategic managerial and front desk support by supervising and training staff and student workers; overseeing Registrar phone lines, in-person queues, and multiple email inboxes; securely processing and handling documents and mail in a timely manner; responding to inquiries from students, faculty, and staff; providing guidance on Registrar processes; maintaining accurate student records; managing transcript requests; coordinating coverage and workflow; contributing to all front desk operations; and ensuring strict compliance with FERPA and institutional policies.
- Manage all residency processes, including collecting and organizing documents, uploading materials to OnBase, monitoring inquiries, coordinating and documenting appeals, issuing denial letters, leading residency audits each Spring and Fall, evaluating applications for approval or denial, communicating decisions to students, and processing Veteran Affairs (VA) and Western Undergraduate Exchange (WUE) residency applications.
- Manage the Suspension Appeal process by creating and maintaining weekly committee review spreadsheets, tracking and documenting incoming appeals submitted via email and in person, guiding students through the process, facilitating enrollment for approved appeals, and ensuring timely communication and organized records to support both students and committee decision-making.
- Assist with planning and executing Commencement ceremonies, related logistics, and other Registrar's Office functions or special projects and events as assigned.
Minimum Qualifications
- Graduation from high school or equivalent education and three years of clerical experience, two years of which was in a college admissions and/or records office or relevant student services area which included records maintenance, public/customer relations, evaluation of detailed information and documents, and the explanation of complex policies and procedures; OR one year of experience as an Admissions & Records Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.
Preferred Qualifications
- Experience working in a community college or student services environment
- Demonstrated ability to work effectively with a diverse and multicultural population and/or workforce
- Proficiency in using student information systems (e.g., PeopleSoft, Banner, or similar platforms)
- Bilingual, with the ability to communicate effectively in more than one language, Spanish preferred
Other Associated Factors
- This position requires sitting or standing at a desk for much of the time.
- Work is normally performed in a typical office work environment.
- This position requires some walking, bending, and lifting up to 15 lbs.
- This position will require working additional hours during heavy registration periods and must be available to work at any of our three main campuses on any given day to assist with front-desk coverage.
Weekly Schedule
Monday - Friday 8am to 5 pm. Flexible to travel between campuses.
Starting Salary
Grade 27, Step 1 - $46,207.44
Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
