Primary Purpose of Organization Unit:
Focusing on Technology, Compliance, and Quality, the Registrar's Office connects students, faculty, and staff with approved policies, procedures, and processes to maintain timely and accurate academic records and curriculum. We balance best practices with forward thinking and new technologies to provide quality and compliant services to students, faculty, staff, and the community.

Primary Purpose of Position:
The Administrative Support Specialist (Records Specialist) plays a vital role in the daily operations of the Office of the Registrar. This position supports students, faculty, and staff by executing cross-functional aspects of registration and records management. The Records Specialist is responsible for answering, addressing, and directing incoming calls to the Registrar phone lines, emails to the Registrar inboxes, assisting walk-ins, and processing various requests such as name/address/major/term change, add/drop/withdrawal, and others. This position is the primary processor of outgoing transcript operations and course section maintenance.

Job Description:
Duties and Tasks:
  • Respond professionally, accurately, and clearly to inquiries from students, faculty, and staff regarding academic policies, processes, records, registration, and scheduling (in-person, email, and phone). Support academic record requests, and registration processes - course add/drop/withdrawal, program/schedule/term adjustments, etc., and the academic schedule.
  • Address transcript requests as well as associated systems and inquiries. Oversee the accurate and timely maintenance of academic course sections.
  • Provide support to other Registrar Office functions, such as room scheduling, conferral processing, graduation, academic catalog, and transfer credit evaluation.
  • Process mail and scan documents into corresponding student files. Update standard operating process documents. Administrative tasks to support compliance and efficiency.
  • Contribute to the success of official events, including, but not limited to, commencement and new student orientation, which may occur in evenings and at weekends.
  • Perform other duties as assigned.

    Management Preference:
    Skills & Abilities: High School diploma required. Associate's degree or higher preferred. Minimum one (1) year of office administration experience; or any equivalent combination of education, training and experience. Skills and Abilities:

Skill in the operation of a variety of office machines including, personal computers, telephones and copiers, filing and recordkeeping, English composition, grammar, spelling and punctuation and basic math. Proficiency in MS Office and other related programs and ability to assimilate new technologies quickly. Knowledge of common higher education standards, policies and procedures. Student Information System experience preferred.
