Summary:
This highly visible role is critical to the function and success within the Financial Aid Office. This position is part-time and is for Monday - Friday 10:00 am to 2:00 pm. This individual will serve as the first point of contact for the Financial Aid Office. Involves tasks such as routine day-to-day operations: operational and individual calendar coordination, answering multiple telephone lines, responding to emails, event and meeting preparation, project and program support.The Administrative Assistant will maintain a strong customer focus; foster mutual respect; perform independently; maintain confidentiality; adhere to high standards of personal conduct and integrity; maintain a level of professionalism and ethics; will be committed to diversity, equity and inclusion and student-centered, equity minded practice. Greets visitors, handles incoming and outgoing calls, and performs general administrative duties. Provide friendly and professional customer service to faculty, staff, and students as well as guests to the University. Provide a variety of administrative support for the Financial Aid Office.

Education/Experience:
Bachelors degree plus one to three years of professional experience; administrative, project management or office management experience preferred or equivalent combination of education and experience.
Knowledge/Skills/Ability:
- Excellent time-management and multi-tasking ability.
- Proficient with Microsoft Office and video conferencing such as Blue Jeans, Microsoft Teams, etc.
- Excellent verbal and written communication skills, including editing and proofreading
- Exceptional customer service skills including providing information, answering questions, and responding to requests
- Exceptional planning and organizational skills
- Must possess a student-centered philosophy and the ability to work effectively as a team member
- Demonstrated ability to handle sensitive issues and maintain confidentiality
- Ability to work well with culturally diverse populations within an organization
- Proven ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy and tact
- Ability to multitask, adapt to changing priorities, and meet deadlines
- Demonstrated ability to interact effectively with students, parents, and families
Physical Requirements:
Light work: exerting up to 20 pounds of force occasionally and/or a negligible amount of force constantly to move objects. Keyboarding, climbing, balancing, standing, walking, lifting, talking, hearing. Close visual acuity. Subject to inside and outside environmental conditions. Not substantially exposed to adverse environmental conditions.
Essential Functions:
- Manage the front desk/reception operations, acting as the first point of contact for students, faculty, staff, and guests of the Financial Aid Office.
- Provide and/or oversee support activities for the unit such as answering telephones, assisting and resolving problems and inquiries of visitors, review and control of incoming and outgoing correspondence, and follow-up on operational commitments.
- Manage the inventory of supplies including ordering and maintaining adequate office supplies.
- Assist with coordinating the on-boarding process for new hires.
- Responsible for sorting and distributing incoming correspondence, including mail, faxes, and email.
