Position Description

Seattle University is seeking an Senior Administrative Assistant to support the Catholic Schools Teacher Corps. The Catholic Schools Teacher Corps is a new program launched in 2024, which recruits and places new Catholic school teachers in local Archdiocesan schools, and who also pursue a master's in education degree at Seattle University over a two-year period while living in community and participating in spiritual formation opportunities. The first cohort arrives in summer, 2025, placing 4-6 teachers in local pre-K to12 Catholic schools, and additional cohorts will be added each year.

The successful candidate will have a range of professional and personal skills and talents to bring to the role, including the following:

Administrative & Executive Support (30%)

  • Supporting calendaring and providing basic administrative support to the director.
  • Office reception and coordination of office supplies.
  • Knowledge/ability to learn Microsoft Office Suite programs.
  • Other duties as assigned by the director.

Stakeholder Communication & Marketing Support (25%)
  • Serving as a point of contact for external and internal partners for the program.
  • Assisting with program marketing and communications.

Record-Keeping & Document Management (20%)

  • Assisting with the tracking and updating of key records, memoranda of understanding, and other documents.
  • Assisting with record-keeping related to program participation, partner schools, and alumni.

Event Coordination & Logistics (15%)
  • Periodic event coordination (reserving rooms, arranging catering, securing parking passes, etc.)

Budget & Financial Administration (10%)

  • Assisting with budget tracking.
  • ProCard reconciliation.


Qualifications

  • HS Diploma or equivalent along and three years of administrative office support experience or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job listed above.
  • Proficiency in Microsoft Office programs such as MS Word, MS Excel, MS Windows, MS Outlook, MS Teams and Internet Explorer.
  • Ability to communicate effectively with others in writing, by phone and in person.
  • Excellent customer service skills including the ability to create a warm and welcoming environment and work with diverse populations.
  • Ability to establish and maintain a professional and positive rapport with current, prospective, and former students, faculty, staff, and administration.
  • Ability to maintain a calm and steady presence in a fast-paced work environment.
  • Ability to organize, prioritize, and perform multiple tasks successfully.
  • All positions at Seattle University require a criminal history background check.


Preferred Qualifications
  • Bachelor's degree
  • Experience working in an academic environment.
  • Experience with social media and marketing
  • A familiarity with Catholic educational institutions.

Compensation at a Glance

Salary Range: $25,000 -$31,000

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.
