Job Summary


Facilities Management
Direct/Manage/Supervise the overall operation and maintenance of building, equipment, and grounds. Maintain compliance with all procedures, policies, and regulations and ensure timely response to regulatory issues and inspection findings. Plan facilities' organizational structure to accommodate growth and change in priorities. Determine needs for equipment leases, purchases, and services. Negotiate contracts with vendors and maintain vendor relationships. Ensure that projects meet specifications and budgets. Ensure that necessary licenses and permits are obtained. May act as liaison to leasing and property management organizations and planning commissions. May also be responsible for facilities' security, in the absence of dedicated security staff. Coordinate and lead daily team activities. May spend a portion of time performing the work of those they supervise. Assist with management decisions and activities. Working knowledge of team function within the organization.

Responsibilities
Oversees the daily maintenance and operation of assigned buildings to ensure they function safely, efficiently, and in alignment with university standards. Responsibilities include supervising custodial and landscaping staff, coordinating repairs, supporting preventive maintenance planning, and monitoring budgets related to building maintenance. Also oversees service contracts such as custodial, landscaping, elevator, and pest control. Works closely with campus partners and vendors and ensures all maintenance activities follow regulations, safety standards, and university policies.

Key Responsibilities

Staff Supervision
  • Hire, train, and supervise maintenance staff, including performance evaluations and disciplinary actions.
  • Manage payroll processes and absence tracking.
  • Create and maintain shift assignment sheets.
  • Oversee staff schedules, including on call rotations, overtime, and event support.
  • Ensure proper use, care, and safety of equipment.



Customer Service
  • Collaborate with university departments, project managers, and external contractors on maintenance and construction projects.
  • Conduct regular inspections to ensure maintenance standards are met.
  • Meet with building occupants to confirm needs and concerns are addressed.
  • Serve as the primary point of contact for building managers and resolve maintenance related issues.

Contract Oversight
  • Assist in developing, soliciting, and managing long term maintenance contracts.
  • Maintain strong vendor relationships through timely feedback and constructive communication.
  • Ensure contracts comply with legal, regulatory, and university requirements.
  • Maintain accurate contract records and support timely updates and audits.

Operational Responsibilities
  • Coordinate repairs, preventive maintenance, and emergency maintenance for building assets.
  • Support the development and implementation of maintenance plans that meet university standards.
  • Monitor budgets for labor, materials, and equipment.
  • Ensure maintenance activities comply with regulations, safety standards, and university policies, and confirm employees are properly trained.
  • Assist and provide coverage for peers as needed.



Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).
Supervisor, Facilities Management: Requires a bachelor's (or equivalency) + 2 years of directly related work experience or a master's (or equivalency) degree.


Preferences
  • Bachelor's degree in a related field (Facilities Management, Engineering, etc.) or equivalent experience
  • Proven experience in facilities management, including supervision, budgeting, and project coordination
  • Strong technical knowledge of custodial and landscaping maintenance
  • Excellent communication, interpersonal, and problem solving skills
  • Ability to work independently and as part of a team
  • Experience with building automation systems and CMMS (Computerized Maintenance Management Systems)
  • Knowledge of relevant codes and regulations
  • Experience working in research laboratory environments
  • Experience working in facilities that include anatomical donation or other sensitive program areas

Work Schedule Summary: Monday through Friday, 7:30 a.m. to 4:00 p.m. Occasional evening or weekend work may be required to support maintenance needs, events, emergencies, or special projects.
