Job Description:

The Administrative Coordinator provides high-level administrative and financial support to faculty, researchers, students, and visitors in the Department of Visual Art. This includes: planning and management of visiting artist programs and Department events, meetings and undergraduate activities; arranging travel logistics and hospitality arrangements; processing transactions, reimbursements, and purchase orders and monitoring the budget; providing academic support to faculty and distributing mail.

The Coordinator is also responsible for general administrative support for the Department and assists with calendar management, event support, answering general inquiries, inputting maintenance requests and tracking them and liaising with internal offices.

The incumbent also manages the student employees including hiring, training, scheduling, payroll and time tracking. The Coordinator actively maintains knowledge of relevant University policies.

The ideal candidate will be customer service-oriented, resourceful, proactive, self-motivated and have a strong aptitude for learning and becoming proficient in multiple computer applications.

Education and Experience

  • Bachelor's degree and a minimum of 1 years' experience, or equivalent combination of education/experience.

  • Experience in an academic setting is preferred and familiarity with and an interest in the humanities and social sciences highly desirable.

  • Strong communication skills, both orally and in writing with the ability to elicit and communicate information in a clear, informative and concise manner.

  • Excellent administrative, interpersonal and organizational skills and the ability to prioritize workload.

  • Customer-focused, customer service oriented.

  • Proficiency in, ability, and willingness to learn, Microsoft applications (in particular Excel), Google Workspace (sheets, docs, Gmail, etc.), Adobe, Workday, Zoom and other systems.

  • Ability to independently develop and implement short- and long-term goals.

  • Excellent attention to detail and ability to handle sensitive matters and confidential information.

  • Ability to work independently and as part of a team.

    Additional physical demands and working conditions:

  • The incumbent may need to attend some evening or weekend events.

  • The incumbent is expected to work on Commencement weekend.

  • Some of the art materials can be heavy and weigh up to 50 pounds.
