Registration and Records Supervisor

Job Summary

The Registration and Records Supervisor provides leadership for front-line student services related to academic records and compliance. This role supervises a team of student services professionals, manages complex academic record processes, analyzes data to ensure accuracy and quality, and serves as a key liaison for professional schools and campus partners. The position plays a critical role in ensuring student academic actions are handled accurately, compliantly, and with a high level of service. This is a fully in-person position.



Responsibilities
  • Lead, organize, and perform a high volume of activities and keep organized under the pressure of tight deadlines, and ability to adjust to changing workloads and deadlines required.
  • Hire, train, coach, supervise, and evaluate front-line student services team members. Assign and prioritize work, monitor performance, and foster a collaborative, service-oriented team environment. Ensure staffing coverage meets student and office needs.
  • Handle escalated cases to resolve sensitive issues and difficult situations.
  • Lead and perform specialized academic records functions, including grading workflows, regulatory requirements (e.g., HB 211), record corrections, updates, and historic data maintenance.
  • Serve as the primary liaison for professional schools and the Dean of Students on complex academic issues, ensuring compliance with institutional policy and state and federal regulations while ensuring students can progress.
  • Collaborate with the Academic Petitions team to process approved grade changes and ensure outcomes are accurately reflected in student records.
  • Serve as the grading coordinator, responsible for proactive outreach, education, communication to faculty prior to the grading deadline. Responsible for outreach when grading deadlines have been missed, encouraging increasing adherence to University grading policies. Monitor trends in grade submission and devise interventions as necessary.
  • Reviews existing processes to find areas of improvement and present ideas to office leadership to new workflows and implementations.
  • Run and interpret data queries to identify data integrity issues, process gaps, and technical challenges related to academic records.
  • Present information pertaining to class registration and records to internal and external audiences.
  • May be called upon to serve on university committees to review and make decisions on student appeals.





Minimum Qualifications
Bachelor's degree in a related field or equivalency (one year of education can be substituted for two years of related work experience), plus one year of directly related experience

Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.
