Compensation:
This is a 10-month, part-time Graduate Assistant position that requires 20 hours per week.
Compensation includes a $10,000 stipend and up to $8,000 in tuition reimbursement.
Period of Contract:
September 2026 -June 2027 (renewable); 20 hours per week
JOB SUMMARY
The Graduate Assistant supports the Office of Grants & Sponsored Programs (OGSP) by assisting with grant administration activities and Institutional Review Board (IRB) operations. This position provides hands-on experience in research administration, sponsored programs, compliance, and research ethics while supporting faculty, staff, and students throughout the proposal development and human subjects research processes.
Working closely with the Director of the Office of Grants & Sponsored Programs and the Chair of the Institutional Review Board (faculty), the graduate assistant will provide grants support by coordinating proposal development and internal submission processes. They will serve as the primary point of contact for student IRB submissions, facilitate communication between student investigators and the IRB Chair, develop educational communications, and assist with updating IRB forms, policies, consent templates, and procedures to promote compliance and continuous process improvement. The position also provides administrative support through data collection and reporting, maintenance of confidential records, and project management assistance.
Duties/Responsibilities:
Grants Administration
- Assist in coordinating proposal development timelines and internal submission deadlines.
- Assist with collecting institutional data, supporting documentation, and letters of support for grant proposals.
- Assist in preparing grant development resources, templates, checklists, and guidance documents.
- Help to ensure compliance with institutional and sponsor requirements.
Institutional Review Board (IRB) Administration
- Develop and disseminate "Ethics Blasts" highlighting training opportunities (e.g., webinars, CITI modules, and other professional development resources)
- Support the planning and promotion of IRB-related workshops and trainings for students, faculty, and staff
- Serve as a liaison to the student body to increase awareness of research ethics and IRB processes
- Serve as the first point of contact for student IRB applications
- Liaise between IRB Chair and student applicants
- Assist in building and maintaining a library of consent form language and templates
- Support efforts to standardize and improve IRB forms and guidance documents
- Assist in coordinating recognition initiatives (e.g., invitations to campus events such as Scholars Day or Honors Symposium, appreciation materials, and engagement activities)
Administrative & Office Support
- Assist with data collection, record keeping, and reporting for grants and IRB activities.
- Organize electronic files and maintain confidential records.
- Assist with office communications, event coordination, and project management activities.
- Perform other duties as assigned.

- Strong organizational skills and attention to detail
- Experience with or willingness to learn data management tools (e.g., Google Sheets, Excel; Power BI a plus)
- Strong written communication skills, particularly for educational and web-based content
- Enrollment in a graduate program at Ramapo College or another college/university for a minimum of six (6) credit hours per semester or two (2) courses per semester, whichever is greater, during the academic year;
- Proof of course enrollment and good academic standing each semester;
- Active and satisfactory academic progress towards completion of a graduate degree in an approved graduate (Master's) program with a transcript provided to the Supervisor(s)/Human Resources Department at the end of each semester;
- A minimum grade point average of 3.0 or higher; and
- Good academic standing during the term of the contract.
- Must be able to meet flexible work schedule requirements, in particular, nights and weekends.
EDUCATION:
Graduation from an accredited college with a Bachelor's Degree.
