Accounts Payable Analyst

The Accounts Payable Analyst is responsible for the technical support of the accounts payable team including maintenance of access requests to Accounts Payable Systems, requesting and building various reports within Great Plains and Paramount, user acceptance testing of system changes, input on requirements for system functions, documentation of processes, working with the Finance Systems team on enhancement and defect requests, and quality assurance of current business processes. The Analyst will also assist with various accounts payable functions including check printing, management of corporate credit cards, and work flow needs.
Essential Functions:

  • Reviews and processes through the necessary approval requests for access to Paramount Workplace.
  • Maintains and updates the requisition and expense approval hierarchies for APEI and subsidiary institutions.
  • Creates reports in Great Plains and Paramount using Smart Lists and other means to meet the needs of the Accounts Payable, Purchasing and other Finance teams.
  • Participates in testing new functionality, upgrades and defects including working with the Finance Systems team to create, edit, and update test plans.
  • Works with Finance Systems teams to identify accounts payable testing needs, and review testing results.
  • Documents all accounts payable processes, including flow charts, and establishes regular review of accuracy.
  • Reviews narratives annually and provides input for updates and changes.
  • Works with leadership team to establish quality assurance reviews of all current accounts payable processes, suggesting areas and plans for improvement.
  • Provides assistance, as needed, on various accounts payable functions including check printing, management of corporate credit cards, and other work flow needs.
  • Develops and assists with training of Paramount Workplace across APEI and subsidiary Institutions.
  • Coordinates and reviews information related to month-end, quarter-end, year-end preparation, 1099's, and financial audits.
  • Maintains and updates user guides as needed.
  • Provides back-up support for Specialists, Sr. Specialist or Sr. Manager as needed.
  • Stays abreast of company policies and procedures, as well as industry changes, best practices and technology.

  • Other duties as assigned.
Work Environment and Physical Demands:
  • Standard office environment in Charles Town, WV.
  • Weekend and overtime hours as needed.

Education and Experience:
  • Three or more years of experience in Accounts Payable is required.
  • Advanced skills with MS Office Suite and Windows based applications (specifically Excel) is required.
  • Great Plains and Paramount experience is preferred.
  • Bachelor's degree in related field is preferred.
