ROLE of the POSITION

Administrative Assistants perform a variety of clerical, secretarial and administrative support duties such as maintaining records and files; composing and editing correspondence; data entry; office management; and budget monitoring. Incumbents possess a degree of knowledge and proficiency sufficient to perform advanced-level work and may provide work direction and training to others.

The Administrative Assistant III has a primary responsibility for providing professional and clerical support to the Cashiering & Student Accounts Office. This position will manage the front desk functions for the Cashiering & Student Accounts Office responds to student's inquiries including incoming calls, e-mails and in-person visits in a professional and timely manner. The incumbent anticipates and tracks critical dates; follows up with appropriate parties to ensure deadlines are met.

This position coordinates the daily office operations, assists with scheduling and planning meetings and works closely with support staff to ensure all documents submitted for tuition and fee appeals excess credit fees adhere to the university polices and NSHE regulations. This position will also be responsible for preparing correspondence and mailings and maintaining office files in accordance with NSHE record retention policies.

Excellent communication skills and organizational skills, judgment, discretion, adaptability and reliability are essential qualities for this position.

Financial responsibilities include: purchase of all office supplies and submit receipts to Executive Administrative assistant to assist with monthly P-card reconciliation. Process and prepare travel documents for Assistant Controller and support staff and submit payment vouchers for vendor invoices.

Accounting responsibilities: adjusting on accounts as approved by tuition and fee appeals committee; late fee appeal adjustments and corresponding with students regarding decision; following up on pending items from committee, including gathering, reviewing and filing of documents.

QUALIFICATIONS

Graduation from high school or equivalent education and two years of clerical and administrative support experience which included experience in one or more of the following areas: maintaining records and files; preparing a variety of materials using a personal computer or word processor; assisting customers in completing forms and applications; and/or performing secretarial duties in support of professional staff; OR one year of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience..

PREFERRED QUALIFICATIONS

Familiar with specialized equipment to set up for meetings or trainings (projector, laptops, and phones).

SALARY

Grade 27 Step 1, salary 36,790.56. "Step" means the number assigned by the Division of Human Resource Management to identify a specific rate of pay within a grade. Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
