  • Recruit, hire, train, manage and oversee Babson student workers which includes overseeing and training student workers for projects such as: database uploads, mailings, outreach, office work, labels, front desk guest management, and miscellaneous projects for the AEAG team and the Advancement Events team on occasion, as business needs arise.

  • Manage the Welcome Center and front desk, including greeting of visitors, issuing of parking passes, and triaging alumni and student requests.

  • Manage the AEAG budget, including p-card reconciliation and processing of invoices, managing budget amendments, POs, and partnering with other Advancement team members in support of the overall budget. Generate budget reports to monitor expenses and revenue, in support of team needs and act as the finance lead on AEAG team.

  • Manage the Advancement E-commerce site including but not limited to ordering items, managing inventory and fulfillment, and compiling reports of financial transactions, gift amount, and gift fund to share with Advancement Services to process in support of donor goals. Manage migration of eCommerce site from Square platform to Commerce Cloud.

  • Manage and oversee supply ordering for office needs, including managing inventory of office supplies, printing needs, and miscellaneous needs; manage and oversee kitchen supply ordering.

  • Manage Give-to-Get fulfillment, including but not limited to ordering items from vendors, inventory management, designing fulfilment notecard, and managing mailings.

  • Serve as the AEAG lead for submitting contracts to IT/Legal and managing documentation in Workday. Work with vendors on contracts and payments as well as on ordering items for programs, gifts, campaigns.

  • Oversee data record management efforts, including but not limited to coding of correspondence and weekly notes; assist with volunteer coding which requires transferring volunteer information from Excel spreadsheets to Millenium.

  • Oversee the Alumni in the Classroom and Volunteer Gift Request Form initiatives, including fulfillment management, tracking of volunteer activity in Millennium; and collaborating with the Director of Alumni Operations to assess alumni engagement on an on-going basis, striving to increase alumni participation.

  • Coordinate and schedule logistical details for programs, initiatives, and/or services to advance the work of the Alumni Engagement and Annual Giving.

  • Provide administrative support to the Babson Alumni Advisory Board, including scheduling of meetings, preparation of meeting materials, recording of minutes, and managing of expenses.

  • Engage alumni as both donors and ambassadors in support of the Babson's annual signature fundraising campaigns – Make Your Mark, Barefoot Athletics Challenge, Class Days of Giving, and Calendar and Fiscal Year End Campaigns.

  • Support passive programming initiatives, including wedding banner management. Manage Babson in a Box fulfillment.

  • Support the Assistant Vice President, Alumni Engagement & Annual Giving with the bookstore relationship with a focus on promoting periodic discounts that coincide with select holidays (e.g., National Beaver Day, Labor Day). Manage email and social media communications to inform alumni about bookstore discounts.

  • Serve as the primary department liaison to Horn Library, including library card requests, and management of research databases (e.g., updates and inquiries).

  • Support the AEAG team in donor outreach, conducting calls and emails throughout the year, in support of the Advancement team's overall goals and metrics.

  • Partner with Advancement Operations as a key stakeholder in the Alumni Hall revamp, providing expertise and support in facilities revamp in support of the Senior Vice President.

  • Assume additional responsibilities as required.

WHAT EDUCATION AND SKILLS YOU WILL NEED



Associate's Degree



A minimum of 3-5 years of related work experience



Must be highly organized and demonstrate the ability to work autonomously.



Must have excellent oral and written communication skills as well as strong organizational skills



Must have demonstrated effectiveness in working with a diverse student body, faculty, staff, and other constituents



Must have strong supervisory skills



Must have a high attention to detail



Ability to take initiative and willingness to learn



Ability to envision and propose new methods to perform tasks that support ET&A; take thoughtful risks; and accept new and ongoing initiatives, objectives, and solutions to gain sought-after results.



Ability to anticipate and embrace change; demonstrate willingness to achieve, acquire, and utilize new skills and challenging tasks; and is flexible in changing conditions.



Must have strong computer skills including proficiency in Microsoft Office (Word, Excel, Access, PowerPoint). Knowledge of Salesforce and Commerce Cloud is preferred.



HOW AND WHERE YOU WILL WORK


Requires work onsite 5 days a week; the on-campus requirement is subject to modification based on organizational need.



ADDITIONAL SKILLS YOU MAY HAVE



  • Previous experience in higher education a plus.
