Must possess a valid driver's license issued by the State where the applicant resides and must be insurable as defined in the UT System UTS 157, as applicable to the performance of essential duties and responsibilities of the position.

Purpose of Position

Computes, classifies, records, and verifies numerical data for use in maintaining accounting records for all Housing and Residence Life business transactions.

Essential Functions

Front Office Administration
  • Ensure a high level of customer service is provided through timely responses via phone, email, and other means of communication.
  • Answer the phones for the department and delegate incoming calls as necessary.
  • Ensure all office equipment is functioning. Submit appropriate requests for service.
  • Maintain inventory of all required office supplies for the department.
  • Manage all department travel needs for staff and staff candidates.
  • Ensure all facilities concerns in Boquillas Hall are addressed in a timely fashion.
  • Attend weekly Housing and Residence Life staff meetings.

    Department Finance
  • Provide weekly financial reports to the Executive Director of Housing and Residence Life.
  • Implement internal training for new professional staff members.
  • Reconcile the Procurement Card charges for the Executive Director of Housing and Residence Life.
  • Manage the procurement for financial transactions via Peoplesoft and Miner Mall.
  • Serve as a liaison between Housing and Residence Life and the Division Chief Accounting Officer and other campus financial offices.
  • Complete monthly reconciliations in accordance with University policy and procedures.
  • Provide assistance to students regarding financial housing transactions posted to their student account.
  • Develop regular revenue audits in conjunction with the Associate Director of Housing and Residence Life.
  • Prepare all financial invoices for any camps, conferences, interns, or non-student guests staying in campus housing.
  • Work with students who have a large housing balance, discussing available resources on campus to cover their balance.

    Human Resources
  • Ensure all student employees are cleared through the University onboarding process.
  • Submit appropriate paperwork for professional staff position vacancies as needed.
  • Complete regular audits of submitted hours for each pay period.
  • Provide weekly time cards for all student employees.
  • Manage the internal onboarding process for new employees.
  • Assist with the planning and implementation of virtual and in-person interviews for professional staff candidates.

    Other duties may as assigned.

    Required Qualifications

    Bachelor's degree from four year college or university within area of assigned responsibility.

    Two years related experience to the statement of duties and responsibilities; or equivalent combination of education and experience.

    Preferred Qualifications

    Three (3) to five (5) years related experience and training.

    Communication Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of an organization.

    Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.

    Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

    Computer Skills: Computer knowledge within an area of assigned responsibility preferred or the ability to learn.

    Other Qualifications: Bilingual (English/Spanish) preferred.
