Department Information

DEPARTMENT SPECIFIC TASKS AND RESPONSIBILITIES:
1. Supports the organization by maintaining thorough knowledge of Human Capital system - OneUSG, USG and KSU policy and procedures, and HR and Payroll practices.
2. Demonstrates an advanced knowledge of the Human Capital systems understanding dependencies between systems and how they affect the overall payroll process
3. Utilizes audit/exception reports to identify and resolve any data or system issues
4. Responds to incoming emails and calls received by HRMS timely and accurately
5. Acts as a liaison between other departments to resolve any issue that requires collaboration with Fiscal Services, USG Shared Services, or KSU HR internal departments to determine solutions to pending issues.
6. Adjusts and corrects information with the human capital system to ensure the most accurate up-to-date teammate records are maintained.
7. Performs vital user acceptance system testing for a wide variety of processes and changes/updates to the OneUSG system

Job Summary

Provides administrative support to the human resources assigned function such as recruitment, on/off boarding employees, HRIS management, workers' compensation, and other related HR functions and special projects. When assigned, serves as first point of contact for initial questions for designated area. Ensures compliance with university, state, federal and other regulatory rules, policies and procedures. Maintains a high level of accuracy, timeliness, and confidentiality.

Responsibilities

KEY RESPONSIBILITIES:
1. Coordinates tasks and processing of assigned HR function
2. Manages and verifies documentation processes, whether in the collection of I-9 documentation, E-verify submission, policy and procedure acknowledgements, or other new hire paperwork, or in the validation prior to processing of the employee record
3. May assist with new employee orientation
4. May assist with exit meetings and documentation for all employees, including one-time deductions
5. Maintains employee records by recording new hires, transfers, terminations, and/or changes in job classifications ensuring timely and accurate entry
6. Ensures relevant HR knowledgebase is current and accurate
7. Coordinates other functions directly related to the assigned area such as employee worker's compensation claims, unemployment claims, validation of position and employee data, and verification of employee documents
8. Assists routinely with highly sensitive or confidential matters, while maintaining discretion as appropriate
9. Provides compliant-based responses to ongoing employee HR inquiries

Required Qualifications

Educational Requirements
High School diploma or equivalent

Required Experience
Two (2) years of human resources or related experience

Preferred Qualifications

Preferred Educational Qualifications
Bachelor's degree from an accredited institution of higher education

Preferred Experience
Higher education human resources experience

Strong customer service skills and phone and e-mail etiquette
