Human Resources Coordinator/Program Assistant

Reporting to the Director of Human Resources Operations and under the general direction of the Associate Director of Human Resources Operations, using technology the HR Coordinator provides customer service excellence, manages the Civil Service Commission hiring process and supports the Director and Associate Director with daily operations and all related Workday reporting and data integrity initiatives.

Major Duties and Responsibilities
  • Provide customer service excellence and clear and accurate timely responses to all HR mailbox, ticketing system, in person, phone and email inquiries.
  • Perform front desk administrative, clerical and receptionist duties, including but not limited to, greeting, and assisting walk-ins, answering phone calls, distributing incoming mail, responding to emails, and preparing outgoing mail.
  • Track customer service response rate and make recommendations on HR communications and processes to reduce tier 1 and 2 inquiries.
  • Responsible for the timely and accurate completion of Workday tasks related to HR Operations, including I9s, personal name changes, etc.
  • Administers the processes for departments for Hiring and Onboarding Part Time, Project, and Stipend employees.
  • Assists in the development of training programs for students, staff, and others.
  • Interfaces with the State Civil Service Commission staff on matters including but not limited to recruiting, application processes and promotional activities.
  • Reviews and processes documentation ensuring accuracy and compliance with University and or CSC policies and regulations.
  • Serves as liaison to hiring managers and employees within Civil Service.
  • Compiles and maintains accurate data for seniority tracking, essential employee designation and other reporting as requested.
  • Works with Compensation and Benefits to confirm appropriate salary ranges and benefit packages for civil service groups.
  • Prepares and disseminates required notices and communications, including drug free workplace, gender equity, and the University's Four-day work week policy.
  • Provides support for the initiation processes for outside vendors and consultants.
  • Other duties as assigned.


Education and Experience
  • Possession of a bachelor's degree from an accredited college or university or associate degree and two (2) years of professional position-related experience.
  • Two or more years in a Human Resources function; Higher Education experience is a plus.
  • Proficiency in Workday or similar enterprise system strongly preferred.
  • Civil Service Commission (CSC) compliance experience preferred.


Competencies/Skills Required
  • Advanced proficiency in MS Office including MS Outlook, Excel and Word is essential.
  • Knowledge of general office and clerical procedures.
  • Exemplary customer service skills demonstrating commitment to customer satisfaction.
  • Ability to comprehend, interpret, and apply rules and regulations in accordance with established intricate procedures and policies.
  • Ability to prepare detailed, highly complex, technical, and confidential forms and correspondence.
  • Technology proficient and demonstrated ability to function in an online environment. Examples: Data Queries, Applicant Tracking Systems, Virtual meeting software (MS Teams, Zoom, etc.) and Microsoft Office Suite.
  • Ability to assist employees in the completion of required forms.
  • Ability to supervise the maintenance and confidentiality of essential records and files.
  • Ability to comprehend complex changes in rules and regulations and apply them effectively.
  • Bi-lingual in Spanish a plus.


Physical Requirements:

Ability to work on campus in an office setting including but not limited to sitting or standing at will, walking, stooping (ex. to position self to maintain files in filing cabinets), keyboarding, hearing, speaking, and visual acuity.

Salary range: CWA 48,056.98 - 54,575.02
