Job Description
Reporting to the Assistant Director of the African Studies Center (ASC), the Program Administrator assists the ASC Director and Assistant Director with all administrative and program matters. This includes program administration, event planning, financial management, supervision of student employees, faculty appointment processing, coordinating and marketing, website maintenance, financial aid processing, outreach, and other duties as assigned.

Administration:

Works with the Director and the Assistant Director of the African Studies Center and Pardee School staff to ensure smooth administration. Works on administrating and managing ASC events; orders supplies, educational materials, and equipment; responsible for the upkeep of the ASC offices and community space and managing proprietary classrooms; prepares and submits faculty actions appointments through the Pardee School Dean's Office; prepares visa applications for all ASC faculty through ISSO; assists with all scheduling of classes, room scheduling, student evaluations, etc. offered by ASC language instructors; provides recommendations on equipment purchases; communicates directly with Facilities Maintenance & Planning on routine maintenance issues and IT on computer or classroom issues; ensures that the ASC office is fully functional and supplied at all times; hire, manage, and schedule the student employees who work in ASC.

Finances and Operations:

Assists Director and the Assistant Director with administering all financial/budgetary functions for the ASC, including planning, monitoring, and forecasting restricted and unrestricted budgets; assists with preparation and submission of grant and other funding applications; preparing and submitting disbursement requests, invoices, shopping carts, requisitions, honorariums, student payroll, and travel reimbursements through Concur; coordinates the annual financial aid and fellowship awards by collecting and organizing applications and tracking applicant data in service to the Financial Aid Committee; other related duties as assigned.

Outreach and Communications:

Maintains ASC website and creates website content including event announcements, event highlights, faculty news, research and funding opportunities, etc; maintains social media accounts; corresponds with academic units affiliated with the ASC; works with the ASC and Pardee School staff to promote African studies, language courses, and programs to BU community and Boston Consortium members; manages the marketing, publicizing, planning and scheduling of lecture series, conferences, and other center events, including all logistics.


Required Skills
  • Bachelor's degree with 3-5 years of experience
  • Strong organizational and problem-solving skills and keen attention to detail.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office, particularly Excel.
  • Requires flexibility and adaptability to new technology in a changing environment and a baseline understanding of project management phases, techniques, and tools.
  • Grant management experience strongly preferred
  • Familiarity with SAP/Concur, managing social media (Facebook, Twitter, Instagram), and Mailchimp is a bonus but not required.
  • Ability to prioritize multiple projects and work well under pressure in a fast-paced, rapidly evolving environment.
