Senior Coordinator of Continuing Medical Education (CME)

Position Summary
The Senior Coordinator of CME (SCCME) is responsible for the development and administrative oversight of the CME operations and activities sponsored by the University of the Incarnate Word School of Osteopathic Medicine. The SCCME reports directly to the Assistant Dean of Graduate Medical Education.

This position is considered a Responsible Employee under Title IX federal regulations and Mandatory Reporter under Texas state law and The UIW Sexual Misconduct Policy. As a Mandatory Reporter this position requires you as the employee to promptly report any incident that you witness or receive information about violating Title IX. These reporting responsibilities are set out in the UIW Sexual Misconduct Policy.

Essential Duties and Responsibilities

Description of Job Duties
Establish UIWSOMs CME office and achieve AOA CCME and ACCME accreditation.
Develop and coordinate all aspects of the UIWSOM CME program resulting in support of the UIWSOMs mission and strategic plan.
Assure compliance with AOA and ACCME Essentials including reporting deadlines
Develop new and updated policies, procedures and practices as needed.
For each program, develop the CME application planning document, faculty disclosure form, speaker release form, evaluation form and materials needed to provide CME credits for physicians, according to current and future AOA and ACCME guidelines.
Act as a liaison with the course director(s) and faculty of each live educational program to ensure that needs assessment focus on professional practice gaps or topics needed for maintenance of certification and obtain the necessary information and signatures required to award CME credits.
With the involvement each Program Chair conduct needs assessment and gap analysis and apply principles of adult education to the design of CME activities.
Develop meaningful educational outcomes measurement tools and processes that will assess the effectiveness of the CME activities and assist in delivering the best quality of care to patients.
Assure that speakers and meeting organizers have adequately prepared items for meeting evaluation including questions to assess competence to be administered at conclusion
Coordinate the online request for sponsorship and appropriate use and financial reconciliation of all unrestricted educational grants awarded for a CME activity.
Organize and maintain all documentation required by the AOA and ACCME for each CME activity.
Remain up to date on accreditation criteria, standards and regulatory requirements.
In collaboration with the Director of Faculty Development, develop CME training program for UIWSOM faculty, staff and community partners.
Prepare CME annual reports.
Develop and maintain effective working relationships with colleagues and functions as an effective UIWSOM team member.
Strong customer service orientation.
Perform other duties as assigned by supervisor.


Knowledge Skills and Abilities
Strong interpersonal skills and demonstrated success in developing and maintaining collaborations and partnerships.
Knowledge of industry standards and guidelines related to continuing medical education
Demonstrated ability to organize complex projects and be attentive to details that will influence the success of a project
Ability to manage multiple educational activities and associated tasks simultaneously, set priorities, and maintain timelines
Knowledge of instructional design principles and ability to assess and share feedback on opportunities for improvement around the linkage of educational needs, objectives, and learning outcomes
Experience writing learning objectives
Experience in preparation and oversight of a budget
Strong data management, fiscal and organizational skills
Ability to work independently and as part of a team.
Proficiency in Microsoft office tools, including MS word, Excel, PowerPoint and Adobe applications.
Excellent critical thinking, analytical, verbal and written communication.
Comfortable working in a frequently changing environment.
Ability to work effectively with individuals from diverse communities and cultures.
Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.

Required Education
Bachelors degree in Business, Communications, Education, Health Science, Public Health, Nursing or related field.

Required Work Experience
At least 5 years of experience managing accreditation and certification of activities for continuing medical education and the application of associated requirements.
2+ years of experience working in a team environment with internal and external constituencies.

Preferred Qualifications
Masters Degree

Required Certifications, Licenses or Registrations
Must hold valid drivers license and have driving history acceptable to the University insurance carrier.

Work Hours
8a-5p with ability to work some evenings and weekends as needed.
May require occasional overnight travel.

Physical Demands
1. While performing the duties of this job, the employee is occasionally required to sit; use hands and vision for office equipment such as computers; talk or hear; moderate telephone usage. The employee must occasionally life and/or move up to 20 pounds.
2. Ability to tolerate exposure to short, intermittent, and/or prolonged periods of sitting and/or standing in performance of job duties.
